Front Office Assistant Summary:

Directly supervise all front office personnel and ensure proper completion of all front office duties. Direct and coordinate the activities of the front desk, reservations, guest services, and telephone areas. Prepare monthly reports and budgets for the front office department.

Duties &  Responsibilities:

  • Training, cross-training, and retraining all front office personnel, participating in interviewing and selection processes, scheduling staff, and evaluating job performance.  
  • Maintain working relationships with departments.
  • Maintain master key control, and ensure accurate room status information is maintained.
  •  Handles guest problems, updates group information, and maintains a credit limit report. 
  • Prepares performance reports, monitors house counts, and ensures hotel policies are implemented. 
  • Operate the front office computer system, prepare revenue and occupancy forecasting, and maintain an organized filing system.
  •  Oversees VIP guest processes, checks in procedures, and charges are correctly entered on guest bills. 
  •  Coordinate with the Housekeeping and Reservations departments to handle arrivals efficiently and hospitably. 
  • Monitor front office financial operations, ensure timely luggage delivery and collection, and handle guest complaints.
  • Handles daily pre-shifts, maintains records and documents, and handles guest inquiries, messages, and bookings. 
  • Conduct routine checks of front office areas for maintenance requirements, repairs, or refurbishments.
  • Acts as the manager on duty when senior managers are not available, and is responsible for the proper functioning and revenue generation of the business. 
  • Maintain constant check of service offered to guests, follow up on guest history, and send out statistical data to concerned departments.

Requirements

  • Diploma in Hotel Management/Front Office Management or equivalent 
  • 3+ years experience in an equivalent role with a rated Hotel 
  • Exceptional listening and communication skills. 
  • A polite, engaging personality. 
  • Commitment to customer satisfaction and service excellence
  • Preferably Male Candidate​
