Amotech Africa is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the Chief Operating Officer (COO) and Chief Executive Officer (CEO). The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the capacity to manage multiplepriorities in a fast- paced environment. This role requires discretion, professionalism, and a high degree of confidentiality.

Executive Assistant Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Communications, or a related field. Engineering or legal is an added advantage.
  • 3+ years of experience as an Executive Assistant, preferably supporting C-suite executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently, exercise sound judgment, and anticipate executive needs.
  • High level of professionalism and confidentiality.
  • Experience in a fast-paced corporate environment is a plus.

Key Responsibilities:

  • Administrative Support: Manage and coordinate executive schedules, including appointments, meetings, and travel arrangements.
  • Communication: Act as a liaison betweenexecutives and internal/external stakeholders, handling correspondence, phone calls, and inquiries efficiently.
  • Provide a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and supportwith senior management staff;
  • Meeting Management: Prepare agendas, take minutes, and follow up on action items for key meetings.
  • Project Coordination: Support strategic initiatives by tracking progress, conducting research, and compiling reports.
  • Document Preparation: Draft, edit, and proofread presentations, reports, and correspondence.
  • Confidentiality & Discretion: Handle sensitive information with the utmost professionalism and integrity.
  • Office Operations: Assist with office management tasks, including supplies, facilities coordination, and vendor management.
  • ISO. 9001:2015 : Support departmental heads with the implementation, documentation, and monitoring of ISO 9001 quality management processes and procedures. Ensure the COO and CEO are updated on relevant regulatory requirements
  • Board Support and Liaison In conjunction with the COO Collaborate with key stakeholders while planning,agenda setting, coordinating and preparing for the Advisory Board’s meetings
