Executive Administrative Assistant
Position Overview
This crucial role will provide administrative support to the DVC-AA for efficient functioning of the office. The Executive Assistant will work closely with the DVC-AAto manage schedules, correspondence and academic projects.
The position’s responsibilities will generally entail:
- Administrative Support: Providing high-level administrative support to the DVCAA, including calendar management, travel arrangements, meetings, and preparing documents, reports, and presentations.
- Communication: Serve as the primary point of contact between the DVC-AA and various stakeholders including faculty, staff, students, and external partners.
- Meeting Coordination: Organize and coordinate meetings, including scheduling, preparing agendas, and taking minutes. Ensure timely follow-up on action items and projects.
- Document Management: Provide support in the preparation, review, and filing of academic documents, reports, and policies, ensuring organization and adherence to confidentiality standards.

- Project Management: Assist with the planning, implementation, and tracking of academic projects or initiatives. Track deadlines, deliverables, and communicate progress to the DVCAA.
- Event Planning: Help coordinate academic events such as conferences, seminars, and faculty meetings. Manage logistics, invitations, and post-event follow-up.
- Liaison and Collaboration: Build and maintain effective relationships with internal departments and external partners to facilitate smooth operations within the Academic Affairs division.
Expected Competencies
- A relevant undergraduate degree
- A minimum of seven (7) years of experience in administrative roles, with at least two (2) years at a senior level.
- Proficiency in computer systems and emerging technologies.
- Exceptional organization and communication skills.
- Ability to manage multiple priorities with professionalism, attention to detail, and a high degree of efficiency.
