Kenya Advanced Institute of Science and Technology (Kenya-AIST) is a newly established specialized post-graduate only institution dedicated to advanced research, education, and training in science, engineering and technology.
Caretaker/Security Officer- Kenya-AIST – Grade 11
Duties and responsibilities at this level will entail: –
- Conduct and oversee regular patrols to maintain the safety of all buildings and grounds.
- Supervise and coordinate daily activities of the outsourced security team to ensure campus safety.
- Monitor and control access to Institute facilities and ensure only authorized personnel enter.
- Respond to security breaches, alarms, and emergencies promptly and efficiently.
- Monitor security equipment such as surveillance cameras and alarms.
- Lead responses to security breaches, alarms, and emergencies in coordination with the outsourced security team.
- Enforce Institute security policies and regulations to ensure a safe environment.
Senior Security Officer II- Kenya-AIST Grade 7
Duties and responsibilities at this level will entail: –
- Providing leadership in the planning, organization, and coordination of all security operations at the Institute.
- Developing and implementing institutional security policies, procedures, and strategies in line with national laws and best practices.
- Liaising with police and other relevant security agencies on matters related to campus security, investigations, and court cases.
- Ensuring the safety and protection of the Institute’s property, staff, students, and visitors.
- Monitoring and assessing security risks and recommend appropriate preventive and corrective actions.
- Overseeing the deployment and performance of security personnel across all Institute facilities.
- Supervising security staff and ensuring discipline, efficiency, and professionalism in service delivery.
- Maintaining quality assurance and safety standards across all security functions.
- Preparing and submitting regular reports on security incidents, trends, and mitigation measures.
- Coordinating emergency response procedures and security drills.
Records Management Officer II- Kenya-AIST Grade 9
Duties and responsibilities at this level will entail: –
- Sorting and classifying documents for filing;
- Updating and maintenance of personnel records and file indexes;
- Ensuring security of information and records in a registry/archive;
- Receiving, sorting, opening, and dispatching related registers are maintenance;
- Updating and maintaining file movement records;
- Ensuring receipt and proper dispatch of mails; and
- Digitizing the Institute’s documents for circulation and archiving.
ICT Officer I- Kenya-AIST Grade 8
Duties and responsibilities at this level will entail: –
- Operating and maintaining computing systems (hardware, software and networks) and data communication systems;
- Preparing and monitoring of maintenance procedures;
- Installing, upgrading and maintaining of computer software and hardware;
- Providing support to end-users in the departments and computer labs;
- Obtaining and setting of computer software for ICT training labs; and
- Providing support to the ICT Trainers and Computer Technologists in carrying out various laboratory/workshop activities.
Senior ICT Officer II- Kenya-AIST Grade 7
Duties and responsibilities at this level will entail: –
- Providing guidance and procedures for operations and maintenance of computing systems (hardware, software and networks) and data communication systems;
- Preparing and monitoring of maintenance procedures;
- Coding/writing and testing computer programs;
- Implementation of information systems;
- Performing technical and systems documentation;
- Planning, designing and implementing the Institute corporate databases;
- Performing database backups, monitoring, tuning and data recovery procedures;
- Ensuring database security and assisting Computer Programmers with database issues;
- Controlling and monitoring database usage; and
- Development and maintenance of the Institute website.
Librarian I- Kenya-AIST Grade 8
Duties and responsibilities at this level will entail: –
- Organizing and retrieving library books, publications, circulations and other related information;
- Issuing publications/reading and research resources to Library users;
- Sending reminder notices for overdue publications;
- Updating the catalogue and shelving new and returned books, publications and other materials; and
- Assisting users on cataloguing and retrieving information from the library.
For appointment to this grade an officer must have: –
- At least six (6) years relevant work experience;
- Bachelor’s Degree in any of the following disciplines: – Library and Information Studies, Information Sciences, Knowledge Management, or equivalent qualifications from a recognized institution;
- Proficiency in library-specific computer applications such as KOHA (Integrated Library System), DSpace (Institutional Repository), OPAC (Online Public Access Catalogue), and other digital library databases and cataloging tools; and
- Knowledge of data protection laws is an added advantage.
- Shown merit and ability as reflected in work performance and results.
Senior Librarian II- Kenya-AIST Grade 7
Duties and responsibilities at this level will entail: –
- Organizing and retrieving library books, publications, circulations and other related information;
- Issuing publications to Library users and sending reminder notices for overdue publications;
- Undertaking check-out process for library materials;
- Promoting library resources;
- Data collection on performance trends periodically and updating the Knowledge Management System to serve any operational, reporting or strategic needs;
- Implementing in-system workflows to ensure that Knowledge Management Systems are updated with current business processes; and
- Updating the catalogue and shelving new and returned books, publications and other materials.
For appointment to this grade an officer must have: –
- Served for a cumulative of at least eight (8) years relevant work experience, three (3) of which must have been in the grade of Librarian I or in a comparable position;
- Bachelor’s Degree in any of the following disciplines: – Library and Information Studies, Information Sciences, Knowledge Management, or equivalent qualifications from a recognized institution;
- Master’s Degree in library science is an added advantage,
- Membership registration to a relevant professional body;
- Proficiency in library-specific computer applications such as KOHA (Integrated Library System), DSpace (Institutional Repository), OPAC (Online Public Access Catalogue), and other digital library databases and cataloging tools.
- Knowledge of data protection laws is an added advantage.
- Shown merit and ability as reflected in work performance and results.

- Perform routine clerical duties such as filing, photocopying, scanning, and data entry.
- Receive and direct visitors and telephone calls to the appropriate offices.
- Type and format documents, letters, minutes, and reports as instructed.
- Manage incoming and outgoing mail and correspondence.
- Maintain and update departmental records and document
- Support the coordination of meetings, including booking venues and preparing materials.
- Maintain inventory of office supplies and ensure timely requisitions.
- Assist in the preparation and circulation of internal communication.
- Provide logistical support during departmental events and functions.
- Maintain confidentiality and security of office information and records.
- Perform any other duties as may be assigned by the supervisor.
For appointment to this grade, an officer must have: –
- At least four (4) years relevant work experience;
- Bachelor’s Degree in any of the following disciplines: – Public/Business Administration, Human Resource Management, Political Science Psychology, Sociology or any other relevant and equivalent qualifications from a recognized institution;
- Proficiency in computer application skills, including Microsoft Office Suite, ERP systems, email and video conferencing tools, internet research, basic data management, and awareness of cybersecurity practices; data protection laws; and
- Shown merit and ability as reflected in work performance and results.

Senior Administration Officer II- Kenya-AIST Grade 7
Duties and responsibilities at this level will entail: –
- Provide day-to-day administrative support to assigned departments or units within the Institute.
- Implement filing systems for proper documentation, record-keeping, and secure retrieval of records.
- Handle official correspondence including receiving, recording, dispatching, and tracking communications.
- Maintain office registers, schedules, and meeting calendars.
- Organize logistics for internal and external meetings, workshops, and events.
- Ensure availability and proper use of office supplies, equipment, and workspaces.
- Assist in the preparation of minutes, reports, and briefs for meetings and institutional activities.
- Support the enforcement of administrative policies, government circulars, and service standards.
- Liaise with other departments to facilitate timely flow of information and institutional coordination.
- Handle inquiries and direct clients and visitors appropriately within the assigned office or division.
- Assist in staff induction and orientation for newly recruited administrative support staff.
- Perform any other duties as may be assigned from time to time.
Assistant Director, Finance and Accounts- Kenya-AIST Grade 5
Duties and responsibilities at this level will entail: –
- Spearheading the development, implementation and review of financial and accounting policies, strategies, regulations, guidelines and procedures;
- Ensuring financial prudence and discipline in financial accounting, planning, treasury management and budgetary controls in compliance with Public Finance Management Act (PFMA) 2012;
- Spearheading the preparation of the annual budget, Public Expenditure Review and Mid-Term Expenditure Framework (MTEF) of budget proposals and cash flow projections;
- Initiating proposals seeking funds for additional expenditure;
- Analyzing budget estimates and monitoring commitments on expenditures for recurrent, development and donor funds;
- Coordinating tax planning and administration in compliance with relevant laws;
- Ensuring safe custody of cash, cheques, financial records and other accountable documents;
- Maintaining an inventory on all bank accounts of the Institute and their approved signatories;
- Spearheading preparation and submission of financial and management reports in accordance with the laid down guidelines;
- Overseeing the day to day running of the financial matters in the Institute;
- Advising the Ag. Principal /Vice Chancellor and the Council on the financial position of the Institute and actions which should be taken to advance its position.
For appointment to this grade a candidate must have:
- A cumulative period of at least Twelve (12) years relevant work experience, three (3) of which must have been in a senior supervisory role preferably in a learning institution.
- Master’s and bachelor’s degree in finance or accounting field or its equivalent from a recognized institution.
- Certified Public Accountant (CPA-K),
- Member of the Institute of Certified Public Accountants of Kenya (ICPAK) and in good standing.
- Proficiency in computer application skills, including Microsoft Office Suite, ERP systems, email and video conferencing tools, internet research, basic data management, and awareness of cybersecurity practices
- Shown merit and ability as reflected in work performance and results.
- Have work experience in a higher education institution and evidence of relevant professional development initiatives.
- Knowledge of data protection laws is an added advantage.
