The successful candidate will support daily accounting functions, maintain accurate financial records, and ensure compliance with statutory and internal policies. Key Responsibilities
- Accurately record all financial transactions in our accounting system, ensuring correct classification and timely posting.
- Maintain and update ledgers, ensuring all entries are supported by valid documentation.
- Process incoming and outgoing invoices, manage invoice discrepancies, and follow up on outstanding invoices to ensure prompt payments.
- Regularly reconcile bank statements, supplier accounts, and credit card statements to identify and resolve discrepancies.
- Assist in the preparation of monthly, quarterly, and annual financial reports, ensuring data accuracy for decision-making.
- Help in analyzing variances between actual and budgeted figures, providing insights and recommendations for financial improvement.
- Support payroll processing by collecting, verifying, and organizing timesheets and other necessary data.
- Assist in ensuring compliance with statutory obligations (e.g., PAYE, VAT, SHIF, and NSSF) by preparing and submitting necessary documents to relevant authorities.
- Collaborate with internal and external auditors by providing timely access to records and clarifying financial transactions.
- Oversee the management of petty cash funds, ensuring accurate records are maintained and reconciled regularly.
- Assist in monitoring cash flow, providing reports and insights to the Finance Manager to support business operations.
- Contribute to the annual budgeting process by gathering and analyzing historical data and current financial trends.
- Help in forecasting financial needs and working with department heads to monitor adherence to budgetary guidelines.
- ERP/Accounting Software: Utilize and update our accounting software (e.g., QuickBooks, Sage, or other ERP systems) to ensure efficient transaction processing and reporting.
- Identify areas for improvement in existing accounting processes and recommend enhancements to improve efficiency and accuracy.
- Assist in updating and maintaining detailed financial procedures and policies, ensuring clear internal controls.
- Work closely with other departments to support their financial needs, offering clarity on budgetary issues, cost controls, and financial planning.
- Participate in training sessions and workshops to continually enhance your accounting skills and stay updated with industry best practices.
Qualifications & Experience
- A Bachelor’s degree in Accounting, Finance, or a related field.
- Professional certifications (e.g., CPA Part I/II, ACCA) will be regarded as an asset.
- A minimum of 1-3 years of experience in an accounting or bookkeeping role.
- Prior experience in the building materials, construction, or retail sectors is preferred but not mandatory.
- Proficiency in accounting software (e.g., QuickBooks, Sage, or similar ERP systems).
- Advanced skills in Microsoft Excel (pivot tables, advanced formulas, and data analysis).
- Familiarity with financial reporting, ledger management, and reconciling accounts.
- Exceptional attention to detail and high levels of accuracy in data entry and financial record-keeping.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management abilities with the capacity to meet deadlines.
- Effective communication skills and the ability to work well both independently and as part of a team.
- Integrity and a commitment to confidentiality in handling financial data.
