Finance and Operations Manager (FOM)

  • Experience3 years
  • Location Nairobi
  • Job Field Finance / Accounting / Audit

Overview

The Finance and Operations Manager will be responsible for ensuring the day-to-day effectiveness of iDE Kenya’s financial and operational functions. This includes managing finance systems, supporting budgeting processes, ensuring compliance with donor and regulatory requirements, and overseeing administrative logistics. The Finance and Operations Manager will have a strong initial focus on accounting and financial management. This position is particularly crucial as iDE explores transitions from operating through an Employer of Record to establishing a formal registered entity in Kenya. The FOM will collaborate closely with the Country Team Lead and the Regional Finance Manager (RFM) to ensure efficient resource utilization, operational coordination, and financial accountability.

Key Responsibilities

Accounting and Financial Management (75%)

  • Maintain accurate financial records, including daily data entry, reconciliations, and monthly closings using NetSuite.
  • Ensure timely submission of financial reports to the regional and global finance teams.
  • Monitor expenditure against budgets and flag variances for follow-up.
  • Prepare and process invoices, expense reports, advances, and reimbursements.
  • Assist in cash flow tracking, forecasting, and financial documentation management.
  • Liaise regularly with the Regional Finance Manager to ensure alignment with iDE’s financial procedures and donor requirements.
  • Support external and internal audits by preparing documentation and responding to queries.
  • Ensure compliance with Kenya tax and statutory reporting requirements, as applicable for the non-profit sector upon registration in Kenya.
  • Ensure financial activities comply with donor requirements and iDE policies, especially for restricted funding and multi-year grants.

Operational and Administrative Support (25%)

  • Assist in managing vendor payments, procurement documentation, and logistics.
  • Support HR coordination in partnership with the Employer of Record, including onboarding and leave tracking.
  • Maintain filing systems for financial, operational, and compliance records.
  • Assist with office setup and other tasks related to the potential registration of iDE in Kenya.
  • Support logistical operations, including the identification and management of office spaces that meet security standards and oversee rental and leasing obligations.
  • Assist in the drafting, review, and updating of country-specific policies and SOPs to align with Kenyan regulations and iDE’s operational requirements.
  • Establish and maintain controls to ensure compliance with local laws, donor requirements, and iDE financial and operational policies and procedures.
  • Liaise with the EOR to ensure invoices are properly coded and compliance needs are efficiently met.
  • Ensure procurement standard operating procedures (SOPs) to ensure transparency, compliance, and strong vendor relations.
  • Support proactive security measures and provide continuous assessment and improvement in security protocols.

Qualifications and Skills

  • Education: Bachelor’s degree in accounting, finance, or a related field. CPA Part II or equivalent preferred.
  • Experience: At least 3 years in hands-on accounting, financial administration and operations, ideally with an international nonprofit or donor-funded project.

Technical Expertise:

  • Proficiency in NetSuite or other ERP systems required.
  • Strong skills in Excel and familiarity with donor compliance standards.
  • Understanding of Kenyan tax laws, statutory reporting, and basic labor regulations.
