Job Description 

  • Reporting to the Programme Manager, the Finance and Administration Officer will oversee administrative, financial accountability, and human resource management functions at Women 4 Cancer. This role involves administering program implementation and serving as the key liaison for finance-related matters with strategic partners. This position also has a dotted-line reporting to the Board on Finance and Administration.

Key Responsibilities:

  • Ensure compliance with organizational policies, procedures, and agreements with strategic partners.
  • Support organizational budget preparation and expenditure monitoring.
  • Manage grants, including donor budgets, reports, and adherence to donor rules.
  • Monitor budget utilization and ensure alignment with project plans.
  • Create reporting and compliance systems, prepare budget revisions, and manage project financials from inception to closure.
  • Prepare payments, maintain accounting records, and ensure adherence to procedures.
  • Post expenses to QuickBooks and maintain proper documentation.
  • Manage payroll, statutory deductions, and remit to relevant authorities.
  • Prepare monthly management reports for the executive board.
  • Conduct bank reconciliations and manage accounts receivable.
  • Support financial statement preparation for audits and present financials to the board.
  • Update and maintain the asset register.
  • Provide advanced administrative support, including meeting arrangements, procurement, and travel arrangements.
  • Oversee human resource administration, including personnel file maintenance, recruitment support, and insurance policy management.

Qualifications:

  • Minimum of 5 years of experience providing administrative support in project-related or donor-funded organizations.
  • Minimum CPA(K); a bachelor’s degree is an added advantage.
  • Experience in procurement and grants management.
  • Financial management experience with donor-funded grant programs.
  • Proficiency in QuickBooks multi-currency accounting software.
  • Advanced Excel skills, including complex formulas.
  • Excellent oral and written English skills.
  • Strong planning, organization skills, and attention to detail
