Job Description 

PURPOSE OF ROLE 

  • The Estate Services Manager is responsible for overseeing the administrative agenda of the Estate to lead the function in accordance with laid down company policies and procedures. The Estate Services Manager will also be responsible for end to end management of the non-harvesting activities. 

ACCOUNTABILITIES 

  • Policy To ensure that Company Policies, Guidelines, the CBA and labour laws are adhered to at all times. To enforce all company policies including but not limited to Safety, Environment, Welfare and Code of Business principles.
  • Planning Participate in the preparation of Estate budgets & performance.  Jointly with Area Managers, determine the labor requirements and overtime requests for the estate monthly, and submit for approval Ensure that the financial expenditure is in line with the budget.  Deliver the business targets aligned to the Company Strategy Estate stocks and stores management Jointly with Area Managers, plan and coordinate green leaf and general transport  In consultation with Research and Development department, prepare the fertiliser and nutrition schedules for the estate
  • Work Allocation Coordination and allocation of labor for Kando Jobs and processes in line to the Recruitment Policy and Guidelines. Determining number of employees to be redeployed to Kando jobs Receiving redeployment requests from employees and forwarding them to the People Processes Panels Balloting for general kando job tasks (every 2 weeks) Training/refresher for specialized kando jobs Jointly with the area managers, carry out field work plans for agronomy crop protection and safety (daily, weekly, monthly and annually). 
  • Training Ensure job inductions are done across all teams. Train & develop all staff and manage Employee Relations in the Estate In consultation with the Estate Manager, identify and determine training needs, carry out the training and development for staff reporting directly to him/her. Assist the HR department as facilitator/trainer when required from time to time.
  • Peoplea) Industrial/Employee Relations Manages industrial/employee relations at the Estate and reports any incidences that may flout good relations to the HR Department. Ensure discipline standards are to the required level for all employees in the Estate. Participate in the counselling of employees.
  • Performance management Set targets for Team Leaders reporting to them. Plan and carry out periodic performance reviews and feedback sessions to employees Ensure attainment of the minimum wage by all employees 
  • Collaborations Main interface with key roles i.e., Area Managers, Factories, Field Technology, Finance, HRBP, Unions, Corporate Relations, R & D, Legal etc. Responsible for the Company assets in the Estate Responsible for cascading Company information to the employees. Implement all company policies and procedures in the Estate. 
  • Document/Records management Ensure all the requisite employment documents are available and kept well. Checks and verifies labour pay records regularly. Ensures reconciliation of the green leaf register against the weighment sheet. Maintains and update the weeding book. Ensures that all office registers including the Overtime sheets, transport log sheets, history cards inventory cards are all up to date at all times. Maintain detailed records of all in-filling, and field sanitation. Reconciles the muster sheet with the labour distribution sheet & payroll outputs. Issues register, and regularly check all tools and Personal Protective Equipment (PPE) ensuring their proper maintenance. (Monthly-Tools check).
  • Responsible that all reports are made accurately and submitted on time. Be responsible for the proper administration of the general stores. In consultation with the manager, be responsible for authorisation of Compassionate, sick leave, maternity/paternity leave and annual leave.  Ensures that appropriate and comprehensive records in areas of Operations are established and properly maintained. 

QUALIFICATIONS AND EXPERIENCE REQUIRED 

  • Graduate in Agriculture, Horticulture, Agricultural Engineering, Bachelor of Science or an equivalent. 
  • Minimum - 4 Years relevant experience 
  • Agronomy - Crop Production and Field Operations  Sourcing – raw materials of agricultural origin Plant Breeding – tea nurseries
  • Infrastructure Management
  • Project Management  Industrial Relations/Employee Relations
